BOURNS COLLEGE OF ENGINEERING LOCATIONS TERMS OF USE
BCOE Locations may NOT be used for academic courses including course introductions, lectures, exams, quizzes, presentations, etc. without written advance approval of the Dean. Departments are required to confirm with the Registrar’s Office that no suitable classroom is available before submitting a request with the Dean’s Office for exceptional approval.
All Students, Staff, Faculty and Guests who access the internet via A/V Technology within BCOE locations, or personal devices, must do so in accordance with all applicable UC Riverside and UCOP policies and procedures.
Any equipment in the Location including lectern components, remote controls, cables, and projector and computer hardware must not be removed, reconfigured, tampered with, or damaged. A fee for repairs will be charged for any damages or missing items.
Projectors and displays must be turned off when not in use.
Chairs and tables must not be removed from or used outside locations, or damaged in any way. A fee for repairs or replacement will be charged if any damages or missing items are reported. Users may rent tables and chairs for outside use from Facilities or an outside approved vendor.
Users are responsible for arranging all Location set-up needs as necessary and when permitted, and for scheduling adequate set-up/reset time. If assistance is needed to set-up/reset the location, or additional tables/chairs are necessary, Users are responsible for submitting a work order with Facilities or an outside approved vendor, and are responsible for all fees associated. Locations must be left in the standard configuration as set by the College. If furniture is moved, it must be returned to the standard configuration prior to leaving.
Users are responsible for understanding how to operate the A/V and Zoom equipment in BCOE locations. Users are encouraged to schedule time prior to the event to test equipment and should coordinate with campus Multimedia/BCOE Systems for training and onsite assistance as needed.
All food waste must be removed at the end of each Location use. If User has a catered event or other food brought in, User is responsible for any mess created (i.e. leftover food or spills on the floor or tables). A special clean-up fee will be assessed accordingly and will be the responsibility of the department or group found responsible. Atypical trash accumulation must be taken from the location and placed in the dumpsters at the Chung Hall loading dock (such as group project materials, pizza boxes, etc. sufficient to cause full or overfilled waste containers) immediately following the event.
High-capacity events may require work orders submitted through Campus Facilities for additional trash receptacles and restroom restocking. Fees associated with Facilities work orders will be the responsibility of the User. Copies of approved work orders may be requested by the Dean’s Office prior to approving Event requests.
Amplified sounds are prohibited in outdoor locations adjacent to classrooms and lecture halls during instruction, and labs with sensitive equipment.
All Users are responsible for assuring there are no violations of all applicable rules and regulations of both the State and University including the service and/or selling of alcoholic beverages. For further clarification, please see the UCR Alcohol for Events Policy. All required approvals must be obtained in advance and copies may be requested by the Dean’s Office prior to approving Event requests.
No glitter, feathers, or confetti type of materials are permitted in all locations.
Protect tables, chairs, and carpet from resins, glues, permanent markings, and punctures.
If taping of any kind is needed, only blue painters tape is allowed. Any items taped must be removed at the end of the Event.
Mobility transports such as bikes and scooters are not allowed in BCOE buildings and per TAPS policy 7.03: must be parked in designated parking areas.
Use only a door wedge if you must prop open the door. If used, door wedge(s) must be removed and stored inside the Location at the end of your event.
All whiteboards must be erased before leaving.
All projectors must be powered down, screens raised up, lights turned off, and doors closed and locked when leaving.
Location hours are 7:00am to 10:00pm, Mon-Fri. Users wishing to use the Locations beyond these hours must request advanced authorization from the Dean's Office. BCOE buildings are locked on weekends and holidays
Key cards are available for pick up from WCH 446 by no more than one hour before your Event time. For Events after 5pm, please pick up your keycard between 4-4:30pm. Key cards must be returned on the same day. For Events ending 4:30pm and later, please return the keycard on the next business day. Location(s) must be secured and locked at the end of your event. Approved users will have their own key access. Unauthorized persons may not be admitted (No Tailgating). Cards may be used to access Locations only during Event hours.
To protect your group from liability, it is suggested users photograph the Location before leaving and date/time stamped. Should damage be noted upon initial arrival, photos should be taken immediately and emailed to the Dean's Office Front Desk (frontdesk@engr.ucr.edu). Email’s date and time provided will be used to verify damage occurred prior to the start of your group's location use.
A pattern of Location use violations by any one group will first result in counseling. Repeat violations may result in location use privileges being revoked. Length of use revocation will be based on the pattern of use violations over time.
DEAN’S CONFERENCE ROOM WCH 443 ACKNOWLEDGMENT
I acknowledge that should the Dean have a need for WCH 443 during my
scheduled time that my Event may be relocated to another location or canceled.
BOURNS COLLEGE OF ENGINEERING PARKING PERMIT TERMS OF USE
Use of the BCOE Parking Space located next to the WCH loading dock is intended for guests and VIP’s of the college. The BCOE Parking Permit is only valid for ONE vehicle in ONE BCOE Parking Space. If additional parking spaces are needed please submit a request to Transportation Services. The BCOE Parking Permit can only be issued by the BCOE Dean’s Office and must be clearly displayed on the dashboard of the vehicle in order to avoid receiving a citation. Please be courteous and reserve the space only for the actual time needed. If the space is no longer needed please remove your reservation from the calendar. Any vehicles parked in the BCOE Parking Space without a valid BCOE Parking Permit issued by the BCOE Dean’s Office will be subject to citation per the campus Transportation Services Parking Rules and Regulations. If additional parking spaces are needed please submit a request to Transportation Services.
